Automate These Emails ASAP!

(Part 1 of 2)

Every Business Needs to Automate Four Email Campaigns.

An Email Campaign is a series of emails sent over a defined period of time to one or multiple people for a specific purpose. 

The purpose could be information 💡, entertainment 🤪, marketing 📣 and promotions 🎉, or many other reasons.

You can Fully Automate The Process with CRM software, such as www.followuprouter.com. Basic Package is FREE by the way! 😁 😉 

Or you can partly automate the process with software like Mail Chimp, Active Campaign, or any other email software, or send the emails manually using pre-built templates that you can save in Gmail or Outlook. 

The less you and your people need to remember to do the task, the better, but let’s start somewhere!

Taking some time to pre-build four specific campaigns or having them built for you will save you money, make you more money, save you and your team time, and improve your customer experience.

Here are the 4 Email Campaigns Every Business Should be Doing:
  1. New Leads

  2. New Customers

  3. Promotions

  4. Long Term Nurture

New Lead Email Campaigns

Whenever your business gets a new lead, an automatic email should be sent to them.  The email should contain the following information:

  • Who you are (this becomes another touch point in your branding and awareness)

  • Some information about your products or services

  • A Call to Action to move your client along to the next step in your client journey

Here’s a specific example of how you can use this information in your business:

👉Client fills out a form on your website to request a quote or more information about a specific product or service. 

Most companies have a form generate a message on the screen that says:

 “Thank you for contacting us. Someone from our company will contact you soon.”

This is a MISSED OPPORTUNITY.  This response does not strengthen the relationship between your company and your lead.  

In addition to having that message pop up, have your Website or CRM automatically generate an email to the client that says some version of the following:

Sample Response:

“We are very excited you’ve contacted us!  

It’s the weekend so we are probably at the lake, soccer field, or skating rink, but we will reply to your request first thing Monday morning when we return.

If you’re looking for information about product XYZ (you can have a simple check box on your form), here’s something you might be interested in: include a link to a website with more info, or a PDF document.  (If you really want to wow them, add another paragraph and throw in some free value, such as a link to: Our favorite kitchen designs for 2024.) 🤩

Do you see how much more engaging a little thought and time spent on an email can be compared to “Someone will be with you shortly.” 

The extra cost of a few extra paragraphs and website links is very low, but the difference between you and your competitor is already very noticeable!

Regardless of whether this lead becomes a client or not, they should still move into your long-term nurture sequence (see #4 in next week’s newsletter).

New Customer Email Campaign

What if I told you that you could improve customer service, reduce callbacks, save your staff’s time on the phone explaining repetitive, simple details to clients and dramatically improve your odds of a positive Google review?  Even better, it would cost you very little time or money to do it. 🤯

 It almost sounds too good to be true, but it really isn’t very difficult to implement.

This is an opportunity to turn a new customer into a raving fan for your business! 😎

I like to use a 3-4 email campaign delivered daily after someone purchases from your company.   

👉The first email can be sent out as soon as someone transitions from a lead to a customer in your CRM

OR

You can have templates made that need a little personalization and sent out manually as soon as a customer books a job with you.  

Needless to say, I prefer you Automate the Process!! 😂

Here’s what I would like to see it look like in action:
Day 1:

The job is booked, and an automatic email is sent to the customer. Here is what you can include:

  • Thank you for your purchase!  We are very excited to work with you to bring your dream kitchen to life. 

  • Here are 5-10 FAQs that most people think of once they drive home.

  • Here’s when you can expect to hear from us to book a template.

  • If we are already exceeding your expectations, we would greatly appreciate a 5 star review!  These reviews really help us to keep customers like you finding our local business and supporting our great team!

  • Insert a link to leave you a Google review.  Make it easy for your customer!

Day 2:

Preparing your home for New countertops.

Here are 7 things we need you to do before we come to the template and install your kitchen:

  1. Have your countertops cleared off of any items

  2. Have your dog in the backyard or a bedroom so we can get our work done (we can pet them after we are done)

  3. Have your walkways and stairs clear of snow and ice (where applicable) or other objects that may impede us from working and carrying large items into your home

  4. If there are specific details we are changing on the new countertops compared to the old countertops, make sure you have notes ready. Sticky notes on the old tops help, too!

  5. Make sure the person we need to talk to about the project is home or at least available for a phone call to clarify any details we may need to discuss during the template.

  6. On the day of install ensure the plumbing and electrical (if applicable) is disconnected

  7. Old Countertops are removed before Install

Of Course you can always add to this list (7 things is probably a little light) 😆 OR break down the template and install checklist into two different emails!

Extra Forms to Have Handy:

If you live in an area where weather may affect the schedule, I suggest having a copy of your Weather Policy in the Email. 

I live in the Midwest, and we did a lot of work up to 2 hours away from our shop. Our policy was:

 “If the weather is -30 and there is a strong wind, we must reschedule the Installation.”  (we never risked anyone or anything due to bad weather)

This did not mean we would pay for plumbers to be rescheduled, or the client to take another day off of work.  However, when you have it clearly communicated in advance, people are prepared for that possibility and are not shocked if you have to reschedule. 🙂

👉The better your communication, the less likely you will have uncomfortable conversations later.
Last, the day after Project is completed

Ask for feedback, see if they have any more questions and ASK FOR A REVIEW!

Reviews are everything! And asking for a review is how you get more!
